Acceptable Use and Online Safety Policy

The conditions every authorised school user must follow to protect students, staff, school records and the Vero service.

1. Scope

Vero is a school-authorised service for student movement and related school operations. Users may access it only through an identity and role authorised by their school. Schools remain responsible for supervising use, assigning appropriate users and roles, and applying their own child-safety, emergency and information-handling requirements.

Students do not receive Vero accounts under the current service. Vero personnel provide support through authorised school staff and do not communicate directly with students.

2. Required use

Users must:

  • use their own authorised identity and keep credentials and approved devices safe;
  • access only the school, people, records and functions required for their role;
  • enter accurate, relevant and respectful information for an authorised school purpose;
  • minimise personal information in free text, uploads and support reports;
  • follow school policies, lawful staff directions and applicable records obligations; and
  • promptly report suspected security, privacy, online-safety or child-safety concerns to their school and, where relevant, Vero at support@vero.education.

3. Prohibited use

Users must not:

  • share accounts, impersonate another person or bypass permissions;
  • access, search, export or disclose another school or person's information without authority;
  • upload unlawful, abusive, discriminatory, sexual, violent, exploitative, malicious or unnecessary sensitive content;
  • harass, groom, threaten, shame, profile or discriminate against a student or other person;
  • use Vero for advertising, gambling, restricted products or unrelated commercial activity;
  • probe, attack, overload, reverse engineer or interfere with Vero except under a written, approved security-testing agreement;
  • introduce malware, scripts, automated scraping or unauthorised integrations; or
  • use Vero data for AI/ML, advertising, market research or profiling outside the authorised school purpose.

4. Student and external-user safety

Vero does not provide vendor-to-student chat, forums, video, remote access or public profiles. Non-school users cannot use Vero to communicate with students.

Schools should use the least information necessary and avoid sensitive detail in destination labels and free text. Immediate safety risks must be handled through the school's emergency and child-safety procedures; Vero is not an emergency service.

5. Enforcement and reports

Vero and the school may restrict or suspend access, preserve evidence and investigate suspected misuse. Serious matters may be reported to the school, affected people, regulators, law enforcement or child-safety authorities as required. Good-faith reports are handled under Vero's incident, privacy and child-safety processes without retaliation.

6. Publication and changes

This policy is published before service use and linked from the School Service Terms. Material changes receive the prior notice described in the Privacy Policy. The policy is reviewed at least annually and after a material safety, legal or functionality change.
